Privacy Policy

KC AI Pet Match helps people in the Kansas City area reunite with lost pets. This policy explains what information we collect, how we use it, what we show publicly, and the choices you have. We have written it in plain language.

Who We Are

KC AI Pet Match is a lost and found pet matching service for the Kansas City metro area, operating at https://kcaipetmatch.com. We compare lost-pet reports against found-pet reports and sightings to suggest possible matches.

We are not an animal shelter, a rescue organization, or a pet adoption service. We do not take custody of animals and we do not rehome pets. We may work alongside shelters, rescues, veterinarians, animal control agencies, and community volunteers, but those organizations are independent of us. Each one keeps control of its own records, and no organization owns or controls every report submitted to us.

Information We Collect

Information you give us. When you send a lost-pet report, a found-pet report, or any other message, you may give us:

  • Your name
  • Your email address
  • Your phone number, if you choose to include one
  • Photographs of a pet
  • Descriptions of a pet, such as species, breed, size, color, markings, collar, tags, microchip number, and behavior
  • The date and the general location where the pet was lost or found
  • Anything else you choose to include in your message

At this time, reports reach us by email through the links on this website. We do not currently operate online submission forms. If we add forms later, information submitted through them will be handled under this policy.

Information collected automatically. Like most websites, our site and its hosting infrastructure record standard technical information, including your IP address, browser and device type, the pages you view, and the date and time of your visit. This information is kept in server and security logs and is used to operate the site, diagnose problems, and protect against abuse.

Pet Reports, Photographs, and Location Information

Photographs and location details are the most useful information you can give us, and also the most sensitive. Please read this section carefully.

Photographs. Photos taken on a phone often contain hidden data, including the GPS coordinates of where the photo was taken. If you do not want to share that, you can remove location data from a photo before sending it, or turn off location tagging in your camera settings. Assume that anything visible in a photo, such as a house number, a street sign, or a vehicle license plate, may identify a location.

Exact addresses. We treat exact street addresses as private information. We do not publish your home address, and we do not publish the exact address where a pet was found.

Map and location privacy. When we describe where a pet was lost or found, we use a general area such as a neighborhood, a cross street, or a city. If we add maps in the future, we intend to show generalized areas rather than exact points, so that a listing does not reveal a private residence. We will update this policy if that approach changes.

AI-Assisted Matching and Human Review

We use automated, AI-assisted comparison of pet photographs and written descriptions to suggest pets that may be the same animal. This is a search aid. It narrows a large number of reports down to a smaller set worth looking at.

AI does not decide whether two animals are the same pet. Automated comparison produces possible matches only. A person reviews possible matches before they are shared with you, and you make the final decision about whether a pet is yours. Automated comparison is imperfect: it can suggest pets that are not a match, and it can miss a pet that is a match. It is not a substitute for continuing to search, checking with local shelters, and following up on sightings yourself.

Information Shown Publicly

We do not currently publish public lost and found pet listings on this website. If we begin publishing them, a public listing may include the pet’s photographs, the pet’s description, the general area where the pet was lost or found, the date, and a reference number.

A public listing will not include your full street address, your phone number, or your email address. People who want to respond to a listing will reach you through us rather than contacting you directly.

Please keep in mind that anything you write in a pet description may appear publicly. Do not include information in a description that you would not want shown, and do not include other people’s personal details without their permission.

How We Use Information

We use the information you provide to:

  • Record and manage lost-pet and found-pet reports
  • Compare reports against each other to identify possible matches
  • Contact you about your report and about possible matches
  • Help connect a pet owner and a person who has found a pet
  • Share relevant details with shelters, rescues, veterinarians, or animal control when it may help identify or recover a pet
  • Operate, maintain, and improve the website and the matching process
  • Prevent misuse, fraud, and abuse of the service

We do not sell your personal information, and we do not use it for unrelated advertising.

Communications and Match Notifications

If you submit a report, we may contact you by email, or by text message or phone if you gave us a phone number, to acknowledge your report, ask follow-up questions, send you possible matches, or coordinate between an owner and a finder.

When we put an owner and a finder in touch, we share only what is needed to make contact possible, and we try to do so with the agreement of both people. You can ask us to stop contacting you at any time by emailing kcaipetmatch@gmail.com. If you ask us to stop, we may not be able to tell you about a possible match for your pet.

Shelters, Rescues, Veterinarians, Animal Control, and Other Partners

Reuniting a pet often depends on other people. We may share pet photographs, descriptions, and general location and date information with animal shelters, rescue organizations, veterinary clinics, animal control agencies, and community volunteers when doing so may help identify or recover a pet. Where contact between people is needed, we share the minimum contact information required, and we aim to get agreement first.

These organizations are independent. They keep their own records and follow their own privacy practices, which we do not control. Participation by any organization is voluntary, and no organization has ownership of the reports submitted to KC AI Pet Match.

Cookies, Analytics, and Technical Information

Cookies. A cookie is a small file a website stores in your browser. This site does not use advertising cookies or third-party marketing trackers. The security and performance service in front of our website sets a cookie to tell real visitors apart from automated traffic and to protect the site from abuse. WordPress, the software this site runs on, sets cookies only for people who log in to administer the site.

Analytics. We do not currently run any website analytics or visitor-tracking service on this site. We may add analytics in the future, such as Google Analytics, to understand how the site is used. If we do, we will update this policy before or at the time we add it.

Logs. Our hosting provider keeps standard server and security logs, which include IP addresses. These are used to keep the site running and secure.

Third-Party Services

Some parts of this service rely on companies other than us:

  • Website hosting. Our website and its data are stored on servers operated by our hosting provider.
  • Security and content delivery. A content delivery and security service sits in front of the website to keep it fast and to block abusive traffic. It processes technical information about requests to the site.
  • Email. Our contact address is a Gmail address, so email you send us is received and stored through Google’s email service and is subject to Google’s privacy practices as well as ours.
  • Other Google services. We do not currently use Google Analytics, Google Maps, or Google advertising on this website. If we add any of them in the future, we will update this policy.
  • Payments and donations. We do not currently accept payments or donations through this website. If we offer them in the future, they would be handled by a third-party payment processor, and we would not store full payment card numbers ourselves.

Data Retention

We keep pet reports and related information for as long as it is useful for reuniting pets and for operating the service. We do not currently apply an automatic deletion schedule, so we are not going to promise a fixed retention period we do not enforce.

You can ask us to delete your information at any time. Some copies may remain for a period of time in routine backups kept by our hosting provider and in email records, and those copies are removed as backups age out or are overwritten.

Reunited and Closed Cases

When a pet is reunited, or when a report is closed for another reason, we stop active matching on that report. If a public listing exists, we remove it or mark it as resolved.

We may keep a limited record of a closed case so we can recognize repeat reports, answer questions later, and understand how well the service works. We may also keep general statistics that do not identify you. If you would rather we delete your closed case entirely, email us and we will.

Your Choices and Requests

You can email kcaipetmatch@gmail.com to:

  • Ask what information we hold about you
  • Correct information that is wrong or out of date
  • Ask us to delete your report or your personal information
  • Ask us to remove or change a public listing
  • Ask us to stop contacting you

We will respond within a reasonable time. We may ask you to confirm your identity before we change or delete information, so that someone else cannot alter your report. We may need to keep some information to meet legal obligations, resolve disputes, or prevent misuse. We cannot remove information that other people have shared independently, for example a flyer or a social media post.

Data Security

We take reasonable steps to protect the information we hold. The website is served over an encrypted HTTPS connection, and access to reports is limited to the people who need it to run the service.

No website, email system, or method of transmitting information over the internet is completely secure. We cannot guarantee the security of information you send us, and we do not promise that unauthorized access will never happen. Please do not send us information such as financial account details or government identification numbers, which we do not need.

Children’s Privacy

This service is intended for adults. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will delete it. If you are under 18, please have a parent or guardian submit a report on your behalf.

Legal Requirements

We may disclose information when we believe in good faith that doing so is required by law or reasonably necessary to comply with a legal process such as a subpoena or court order, to enforce our terms, to protect the rights, property, or safety of a person or an animal, to investigate misuse of the service, or to cooperate with animal control or law enforcement in a matter involving animal welfare.

Changes to This Policy

We may update this policy as the service changes, including if we add forms, public listings, maps, analytics, or payment features. When we update it, we will change the effective date at the top of the page. If a change materially affects how we handle your information, we will make that clear on this page.
